Oshawa Hawkeyes Refund/Release Policy
Refund Policy
The Oshawa Hawkeyes Football Club has set the following guidelines on refunds with regards to registration fees for our youth sports programs. In order to request a refund, a written email should be sent to president@hawkeyes.ca with a detailed explanation for the request. After the request has been received our board will review and make a decision to move forward with the refund and how much of the cost will be refunded. In most cases, credits will be given toward the following OSFL or OFFL season. Any credits or refunds will be determined on a case by case basis.
Once a registration is completed, a participant is expected to pay the full amount ($850+fundraising fee) prior to the start of the season. No refunds shall be issued until confirmation that all equipment and property has been returned. All credit requests must be reviewed and approved by the Executive of The Oshawa Hawkeyes.
Unfortunately, refunds will NOT be assessed for programs due to the following:
● Unhappy with team assignment or playing time
● Personal requests not honoured
● Scheduling Conflicts
● Change of teams
In the event that the child was medically unable to participate in the sport he/she had registered for, a note from a doctor on letterhead indicating that the participant cannot participate is required. If a parent has requested a refund due to medical reasons prior to the start of the season (prior to the start of practice), they will be eligible to apply to receive a credit toward the following season. The amount of money that is credited is contingent on how much of the season has passed as well as the reason for the refund. For example, a child who suffers an injury with only a short time left in the season will likely not warrant a credit as the entire cost of the season has already been incurred.
Release Policy
As per the policies of Football Ontario, and the OCFL; players are only permitted to be released from a program if they are in Good Standing (no outstanding fees or equipment). Once a registration is completed, a participant is expected to pay the full amount ($850+fundraising fee of $200) prior to the start of the season. No player will be granted a release from the Oshawa Hawkeyes Football Club without the entirety of fees paid for the upcoming registered season, being in good standing (no outstanding fees owed from past seasons or any equipment not returned) and approval from the Oshawa Hawkeyes Executive along with approval from the OSFL/OFFL. Players will not be granted a release once our season games begin.
In order to request a release, a written email should be sent to president@hawkeyes.ca with a detailed explanation for the request. If approved by our executive board (player meets criteria for a release by being in Good Standing), the Oshawa Hawkeyes Football Club will give the participant a release in writing with an Oshawa Hawkeyes Football Club letterhead.
Under no circumstance are releases valid with the Oshawa Hawkeyes Football Club unless provided in writing and signed by the President of the club using an official Oshawa Hawkeyes letterhead.
